The Role
In this role, you will serve as the company’s first point of contact for employees, visitors, and vendors, creating a professional and welcoming front-office experience. The Office Coordinator is responsible for greeting guests, managing incoming calls, coordinating mail and deliveries, maintaining an organized reception area, and providing general administrative support to the Human Resources and Marketing departments.
What You Will Do
Front Office Administration (65%)
- Greet and welcome employees, clients, vendors, and visitors in a professional and courteous manner
- Answer, screen, and direct inquiries to the appropriate department
- Receive, sort, and distribute incoming mail, packages, and deliveries in a timely manner
- Maintain a clean, organized, and presentable reception area and front-office spaces
- Ensure visitors follow office security and sign-in protocols
- Coordinate conference room scheduling and assist with meeting setup as needed
- Order and maintain supplies for corporate staff
- Provide clerical support such as filing, scanning, copying, data entry, and preparing routine correspondence
- Assist with scheduling appointments, meetings, and interviews as requested
- Order and set up daily lunch service for on-site employees
- Support internal teams with administrative tasks and special projects as assigned
- Assist with special event coordination as needed
- Maintain accurate front desk logs, contact lists, and records while handling sensitive information with discretion
Human Resources & Marketing (35%)
- Work with Recruiting team to ensure new hire requirements are satisfied in a timely manner
- Manage the Employee Referral Program and coordinate payments
- Manage, print and distribute marketing and sales collateral
- Assist in development and management of content and social media campaigns
- Support internal communications team with special projects
- Conduct research, analyze data, and make recommendations for improvements
What It Takes To Be Successful
- High school diploma or equivalent required; additional office administration coursework is a plus
- Minimum one to two years of receptionist, front desk, customer service, or administrative support experience preferred
- Professional demeanor with strong customer service and interpersonal skills
- Excellent verbal and written communication skills
- Ability to manage multiple tasks, prioritize effectively, and remain calm in a fast-paced environment
- Strong organizational skills and attention to detail
- Ability to exercise discretion and maintain confidentiality
- Bilingual English/Spanish preferred or required based on business needs
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
- Comfort using office equipment such as multi-line phone systems, printers, copiers, and scanners
- Ability to learn company systems, visitor management tools, and internal communication platforms
- Reliable, punctual, and able to work independently as well as collaboratively with cross-functional teams
Environment: Office environment, long periods of computer use and sitting, with intermittent periods of walking, standing, climbing, reaching, stretching, leaning, bending and stooping. May work remotely and need to set up appropriate workspace taking into consideration ergonomic requirements. May be required to visit client or vendor job sites.
