  • The IT Solutions Specialist will be instrumental in improving our current systems and processes, particularly for the HR, Finance and Operations departments. Their primary focus in the first 12 months will be to assess and prioritize the needs of these departments, implement quick wins to alleviate immediate pain points, establish a framework for process optimization, drive the adoption of workflow automation tools, and provide architectural guidance for system integrations. By addressing these critical areas, the Solutions Specialist will help to improve efficiency, productivity, and user satisfaction within HR, Finance and Operations.
  • The organization is also committed to a multi-year digital transformation. As this initiative progresses, the Solutions Specialist will transition to supporting that effort, leveraging their knowledge and experience gained from working closely with the departments. They will provide valuable insights and recommendations to inform the digital transformation strategy, ensuring that the new enterprise platform aligns with the needs and goals of the organization.
  • Throughout their tenure, the Solutions Specialist will be expected to foster strong partnerships with business stakeholders, contribute to a culture of continuous improvement, and enable data-driven decision making. Their efforts will not only deliver tangible benefits to the Finance and HR departments but also lay the foundation for the successful implementation and adoption of the new enterprise platform.
  • We are a complex business seeking standardization that allows for customizing the best, unique Client Experience with our customers and the best Employee Experience with our people. The initial challenge is the business process and systems from Talent Acquisition to Operations. Altogether, you will help elevate systems and processes spanning HCM, ERP, CRM, CPQ, and BI reporting tools, among others.

This next evolution of our business requires a dynamic, thoughtful, and self-motivated Solution Specialist. You will assess every aspect of our daily business operations, identify opportunities for improvement, align business priorities, and develop simplified and optimized solutions. You will also lead the vetting, selection, implementation, and success of technology solutions to support the processes. The overall company goal is to reduce rework and save time for our valued producers in the field. 

This is a heavy people-facing, collaboration role. Our business revolves around service delivery to clients, most major systems touch every department in the company from Operations in the field to corporate office. You will work with people at all levels and disciplines to understand and orient systems to the priorities of the business.

The ideal candidate will be an experienced professional with in-depth knowledge of business processes and business system analysis techniques. You can see the big picture (i.e., you’re a systems thinker), understand project objectives, understand data gathering and reporting, and be able to apply your understanding of how processes should work to operational improvement initiatives. Project management and excellent communication skills are vital for success.

Remote / Hybrid Requirements

This is a hybrid work role. We’ll figure out the right ratio together, but initially seeing 25% – 50% in our Culver City office for training, onboarding, and ramp-up of projects (weeks not months). The remainder will be optionally remote. Our priorities are connection, collaboration, and delivering meaningful work.

What It Takes to be Successful

This is an extensive list of some of the things you’ll be doing. Since it’s a new role for Servicon, we’ll adjust and adapt through the year as we learn together. You get to help define the role so that it makes the greatest impact on the organization.

  • Systems & Procedures 
    • Function as a liaison between IT and business users for assigned business areas, consulting using both business and technical expertise. 
    • Provides functional and technical leadership during the design, testing and implementation of systems throughout the business.
    • Analyze and document current company processes and current human systems. 
    • Determine operational objectives by studying business functions, gathering information, evaluating output requirements, data analysis needs, and information formats. 
    • Develop procedures to improve existing systems – developing our skills in systems improvement is as important as improving the systems themselves. 
    • Advise on best practices; recommend solutions for improving and restructuring company processes and procedures; co-create systems solutions with cross-functional team members. 
    • Perform gap analysis on where we are today to where we want to be, research and estimate the costs of upgrades and improvements. 
    • Establish specifications for new projects by developing project goals, phases, and budgets. 
    • Recommend controls by identifying problems, writing improved procedures. 
    • Regularly report to executive sponsors and executive leadership. 
    • Ensure systems and processes are monitored, reported, reviewed, and improved over time (i.e., continuous evaluation and improvement). 
    • Compile, write, and distribute system process specifications. 
    • Creates change management requests in partnership with business leads for any new or enhanced functionality to business systems.
    • Supports day-to-day operations of business systems, working collaboratively with other IT support staff, to ensure business operations are maintained and run properly.
    • Seeks out and advises the business in the design/development of new business solutions or reconfigurations of existing business systems.
  • Software, Technology, and Data as they relate to systems and procedures 
    • Identify effective business software system solutions for business issues / requirements. 
    • Evaluate company performance, information, and report formats. 
    • Analyze company software and other technology uses and needs. 
    • Track company systems progress and report on progress. 
    • Research and compare hardware and software needs to make recommendations for the company. 
    • Plan and implement supportive business solutions. 
    • Recommend new system developments, chair working group to ensure continuous value optimization with evolving platforms, address issues with existing systems. 
    • Analyze and translate relevant data for presentations to other team members. (Tell a story with objective data.) 
    • Create guides to system updates, as needed. (I.e., write it down to delegate the work.) 
    • Estimate and establish costs of upgrades and improvements. 
    • Establish data collection and reporting at each stage of a process – for both process analysis as well as business/data analysis. 
  • We anticipate you will keep learning through workshops, reading, networking groups, etc. We have a budget for that.

Requirements 

  • Bachelor’s degree in computer science, computer info systems, information technology, or relevant field. 
  • A minimum of 7 years’ relevant experience in IT as a business process, systems analyst, or similar role. 
  • Experience supporting two or more functional areas and business processes that span HR, Finance and Operations.
  • Ability to work in a collaborative environment with strong interpersonal skills. 
  • Excellent written and verbal communication skills, to interact professionally and in business language with all levels of business leaders and subject matter experts.
  • Experience configuring, implementing, and supporting HCM / ERP SaaS applications such as UKG, SAP, Workday, Oracle, etc.
  • Strong technology foundation and experience
  • Strong vendor management skills
  • Expertise in data analysis, data design, and reporting across multiple data sources (i.e., multiple platforms) 
  • Preferred: Experience with IT technologies and business processes for a facilities management company.
  • Preferred: Experience with SQL databases and data reporting for support and implementation of such solutions

  • You will also be eligible for annual cash bonuses based upon performance and other factors.
