We are looking for a people-oriented leader to…

  • Connect with our people to build a high performing, engaged administrative team that is a strategic business partner
  • Assess our current administrative processes, systems, and capabilities to identify gaps and opportunities
  • Develop and execute a transformational roadmap to build an agile, client-centric administrative function
  • Design and implement customizable frameworks and processes to meet complex client needs
  • Collaborate with IT to drive technology initiatives to automate tasks and connect information across departments

This next evolution of our business requires a dynamic, thoughtful, and autonomous Director of Administration who will be part of our team of directors collaborating to professionalize our growing company. You will assess every aspect of our daily administrative operations, identify opportunities for improvement, align business priorities, and restructure/redesign the department to meet the company’s strategic objectives.

This is a people-facing, collaborative role. Our business revolves around service delivery to clients; most major systems touch every department in the company, from Operations in the field to the corporate office. You will work with people at all levels and disciplines to understand and orient administration staff to business priorities.

To excel in this role, you will be an experienced professional with in-depth knowledge of administrative processes and business system analysis techniques. You can see the big picture (i.e., you’re a systems thinker), understand project objectives, understand data gathering and reporting, and be able to apply your understanding of how processes should work to operational improvement initiatives. Change management and leadership skills will also be critical for success. 

What It Takes to be Successful

This is a list of what you’ll be doing. Since it’s a new role for Servicon, we’ll adjust and adapt through the year as we learn together, and the organization is revitalized. You get to help define many aspects of the role so that it makes the most significant impact on the organization. While we have a 3 to 5-year vision for this role, the items below are among expectations for the first year for you to learn and develop a concrete roadmap.

  • Build strong partnerships with key stakeholders (Operations, HR, Finance, Operations, IT, etc.) to align priorities and drive collaboration.
  • Ensure 100% compliance with contract and government regulations
  • Conduct a comprehensive assessment of administrative processes, systems, and talent
  • Assess skills and competencies of the administrative team and develop upskilling plans
  • Develop a roadmap and action plan to drive administrative transformation
  • Implement quick-win process improvements for immediate efficiency gains
  • Establish KPIs and metrics for administrative function; implement reporting processes
  • Identify and (with IT) implement technology/automation initiatives
  • Document and standardize core administrative processes and procedures
  • Streamline and automate critical administrative workflows to improve efficiency and reduce rework

Requirements

  • Proven experience in administrative management and transformation in complex organizations
  • Deep expertise in regulatory and contract compliance management or similar work
  • Exceptional strategic thinking, business acumen, and data-driven decision-making
  • Highly skilled in project management, planning, and executing complex initiatives
  • Proven ability to lead, motivate, and develop high-performing teams
  • Expertise in process improvement methodologies in administration
  • Effective communicator and relationship builder with strong stakeholder management skills
  • Data-driven mindset with strong analytical and problem-solving skills
  • Bachelor’s degree in business administration, management, or a related field; advanced degree and/or relevant certifications a plus
  • 10+ years of progressive experience with at least 5 years of demonstrated people leadership

Hybrid / Office Requirements 

Our company services hundreds of client locations throughout southern California and across the country. To be successful in this role, we initially expect 2 to 3 days per week in our Culver City office or visiting our administration staff at various job sites. Some limited travel may be required to visit out-of-state clients. You will determine the most effective balance when assessing and evaluating our administrative team, systems, and their needs.   • A reasonable estimate of the current base salary range for this position is $130k-$180k. You will also be eligible for annual cash bonuses based upon performance and other factors. Actual compensation offered may vary depending on skill level, experience, and/or education.
