The Role
This Operations Administrator oversees the administrative compilation of required documentation and accurate data entry for the operational compliance requirements.
The role may oversee and ensure the accuracy of data entry for entry-level individuals focused on compliance adherence. Additionally, this position may support regularly scheduled client audits, conduct new hire orientation programs for designated clients and manage the badging processes for new employees at the client locations.
WHAT YOU WILL DO
- Enter compliance data and compile documentation, including auditing data for accuracy.
- Manage compliance reporting aspects including timely and accurate data entry with effective communication, integrity, and discipline
- Manage regularly scheduled client and/or union required audits including collaborating with other departments to ensure timely completion and accuracy of all data submitted per client or Collective Bargaining Agreement (CBA) requirements
- Address current non-compliance issues by ensuring accurate and timely reporting
- Review records and reports relevant to payroll, production, and other workplace activities for monitoring compliance requirements as they relate to job-specific criteria
- Provide oversight to Operations Coordinator performing data entry tasks and other related compliance responsibilities, train team members in processes and procedures as necessary
- Work closely and collaborate with other team members and departments to ensure seamless administrative processes and accurate and timely compliance submissions
- Support new employee orientation and onboarding for the LA County department of correctional health client including the employee badging processes.
- Understand and explain client contracts, union CBAs, work procedures, and processes to other team members and client contacts as needed
- Schedule regular meetings for Operations team, self, and participate in meetings as required, including communicating agenda, minutes and action items
- Ensure ongoing communication between Corporate and field operations to ensure assignments, deliverables, and processes are understood and adhered to, and deadlines are met
- Manage Certificate of Insurance (COI) process in coordination with vendor management, and collaborate with applicable departments as necessary

What It Takes to be Successful
- Previous experience in an administrative role with a focus on compliance adherence and accurate data entry expected
- Strong organizational skills
- High detail orientation and accuracy
- Demonstrated ability to audit work entered by others and self, for accuracy
- Excellent oral and written communication skills, bilingual Spanish a plus
- Demonstrated ability to effectively manage competing priorities and keep focused under pressure, and meet deadlines
- Demonstrated ability to learn, interpret, explain, and apply company and client contracts, policies and requirements
- Demonstrated ability to train others in systems, processes, and procedures
- Demonstrated ability to manage sensitive information and maintain confidentiality
- Proficiency in Microsoft Office programs required with advanced expertise in Excel preferred
- 2+ year experience with data entry in systems/database, creating and exporting reports
- Prior experience with union CBA a plus
